Be able to professionally and confidently answer and field telephone calls
Dealing with email enquiries
Typing variety of correspondence, using a Microsoft Outlook package.
Sending out faxes and distributing incoming faxes to colleagues
Opening and distributing mail and taking appropriate action where required
Booking travel ,including car hire for Finance staff
Arranging meetings
Booking rooms and refreshments/lunches as required, this would sometimes involve meeting and greeting attendees and directing them to the appropriate venue. Occasionally take notes if required
Ordering stationery for the office
Maintaining the Directorate’s filing system
Providing cover in PA’s absence
Plus other ad hoc duties commensurate of the post
